Create an inventory of your websites

Start by identifying all of the websites you are responsible for. 

  • What websites do you own or manage? 
  • Are you part of a larger school, department, or campus unit? 
  • Is ownership shared with or delegated to a marketing or IT team? 

If your site is managed in coordination with another group, connect with them early.

A complete inventory of which sites you own helps you understand the potential scope of your migration work.

Identify which sites use the IU Web Framework

Site Builder is replacing the IU Web Framework.

While it's not required that a site use the Web Framework to migrate to Site Builder, the automated migration tools have been designed specifically for Web Framework pages.

Sites built outside the Web Framework can still be migrated, but they might require additional review and manual effort.

Review customizations, integrations, and non-standard features

If your site uses only standard Web Framework features, migration may be straightforward.

For example, you should not require major redevelopment if you are only using built-in content chunks to embed:

  • FireForms 
  • LiveWhale news or event feeds 
  • IU Blogs feeds

However, additional planning or redevelopment may be required if your site includes: 

  • Custom page or chunk types created specifically for your unit 
  • Code that pulls in data from a database, API, or other application 
  • Embedded third-party widgets 
  • Direct modifications to the Web Framework’s underlying code 

Most customizations in Site Builder must be reviewed and approved through the Website Custom Functionality Approval Form. Early identification of custom features will help determine what requests need to be made, what can be supported, and what may need to be redesigned.

Review IU's websites policy

Before migration, site owners should review IU’s Websites Policy (VPCM-04).

The policy outlines requirements related to: 

  • Accessibility 
  • Security 
  • Content ownership and responsibility 
  • Appropriate use of university web resources 

Understanding these expectations in advance will help ensure your migrated site meets university standards.

Remove outdated, low-traffic, duplicated, or unused content

Migration is an ideal time to evaluate and streamline your content. 

As you review your site, consider: 

  • Is the information accurate and up to date? 
  • Can outdated or low-traffic content be removed or archived? 
  • Is the same information published in multiple places? 
  • Is there content that is no longer in use?

Evaluate whether some content belongs elsewhere

Not all content is best maintained on a public website. 

As you prepare for migration, consider whether certain materials may be better supported by other enterprise services. For example: 

  • Internal-only documents: OneDrive or SharePoint 
  • Forms and data collection: FireForm, Qualtrics, or ServiceNow 
  • Instructional or course content: Canvas 
  • Policy or reference documentation: IU Knowledge Base

Support for units with limited web development resources

If your website is supported by the UITS Department Solutions Web Team (DSOL), you'll be hearing from them about timing as they move through their migration project.

If you want to migrate your website's content yourself using the automated migration tools, you'll be able to request that in the coming months.

If you need assistance with the migration beyond moving content into Site Builder, DSOL plans to expand their services as they finish migrating sites they currently support. More information forthcoming on how to request migration assistance.
